Alotta Fun Childcare Parent Handbook

History

Alotta Fun Childcare began in 2007 and expanded to our current Out of School Care location in 2012. After a major leak caused the ceiling of our original site to collapse in 2018, we shifted our full focus to OSC — the age group we’ve always loved working with most.

Over the years, we’ve faced challenges, including COVID, but our commitment to strong relationships with children and families has never changed. We’re proud to be a long‑standing part of the community and even prouder when former students return to visit.

Mission/Vision

We help children grow with confidence, curiosity, and kindness. Our mission is to support children through meaningful experiences, strong relationships, and opportunities to explore who they are. We believe humor, connection, and a sense of belonging help children navigate challenges and develop resilience.

We are committed to creating an environment where every child feels safe, valued, and included. We actively promote kindness, acceptance, and respect, and we take a strong stand against all forms of bullying. Our goal is to support children as they grow into confident, capable, and compassionate individuals.

Our Values

These values guide everything we do:

  • Respect: We treat everyone with dignity and kindness.
  • Inclusion: Every child belongs here.
  • Safety: We prioritize physical and emotional wellbeing.
  • Relationships: Strong connections guide our work.
  • Play: Children learn best through exploration and fun.
  • Kindness: We model empathy and stand against bullying.
  • Growth: We support learning for children and staff alike.

Staff Supervision, Ratios, and Room Capacity

Staff Supervision & Ratios

  • Ratio: 1 staff for every 15 children
  • Maximum room capacity: 40 children
  • Preferred group size: 30 children
  • All staff are certified, first‑aid trained, and have clear police checks
  • We provide active, attentive supervision at all times

Staff provide continuous, active supervision of children at all times, including during transitions, outdoor play, and off‑site activities. Staff are expected to engage with children in a developmentally appropriate, respectful, and professional manner. The program supports ongoing professional development to ensure high‑quality care and continuous improvement.

Child Guidance Policy

Our approach to child guidance is rooted in respect, understanding, and positive relationships. We focus on preventing challenging situations before they occur by planning engaging activities, observing children’s needs, and creating a supportive environment.

When conflicts arise, staff use re‑direction, problem‑solving, and guided discussions to help children understand their choices and learn new skills. We never use time‑outs, humiliation, or any form of punitive discipline.

If a situation continues or a child needs additional support, we work together with families to create consistent strategies. We may use simple goal‑setting to help children build confidence, responsibility, and positive contributions to their environment.

Our goal is always to help children feel safe, capable, and supported as they learn and grow.

Family Involvement and Support

Families are the most important people in a child’s life, and we value the trust you place in us. We welcome parents into the program at any time and encourage participation in field trips, special events, and day‑to‑day activities whenever possible.

We also support families by sharing information about community programs, resources, and low‑cost or free opportunities that may benefit children. If you are looking for additional supports or services, please reach out to the Director — we are always happy to help connect you with what you need.

We believe that strong partnerships between home and program create the best outcomes for children, and we are committed to open, respectful communication with every family.

Programming

Our programming is designed to support children’s social, emotional, physical, and cognitive development while meeting the expectations of the Alberta Early Learning and Child Care Act and Regulation. We plan activities based on children’s interests, observations, and developmental needs, ensuring that every child feels engaged, included, and supported.

Children are encouraged to participate in planning and shaping the program. When children contribute ideas, activities become more meaningful and successful. Parent suggestions are always welcome and help us create experiences that reflect the needs of our community.

Our program includes opportunities for:

  • Indoor and outdoor play
  • Physical literacy and wellness
  • Social, emotional, and cognitive development
  • Inclusive and diverse experiences
  • Creative, spiritual, and intellectual exploration

Older children may assist younger peers in learning new skills, helping build confidence, leadership, and a sense of community. All programming is supervised by qualified staff who ensure activities are safe, developmentally appropriate, and aligned with licensing standards.

Communication Policy

Clear communication helps us build strong relationships with families and ensures your child’s day runs smoothly.

Community Partnerships

We believe children thrive when they feel connected to the world around them. Our program builds positive relationships with local organizations, schools, and community groups to enrich children’s experiences and support their growth.

How We Partner with the Community

  • We collaborate with local schools to support smooth transitions and consistent communication.
  • We participate in community events and activities when appropriate.
  • We connect families with local programs, services, and resources that may benefit their child.
  • We build relationships with neighbourhood organizations that support children’s wellbeing, inclusion, and development.

Why Community Matters

Community partnerships help children:

  • Build a sense of belonging
  • Learn about the world around them
  • Develop empathy, confidence, and social awareness

These connections strengthen our program and help us create meaningful experiences for every child.

Off-Site Excursions

. We believe that learning happens everywhere — not just inside the program. Off‑site excursions give children opportunities to explore the community, build confidence, and enjoy new experiences in safe, supervised environments.

Permission & Notification

  • Families must complete an Off‑Site Permission Form before their child can participate.
  • We notify families of each excursion through Lillio/HiMama, including the date, time, destination, and any special requirements.
  • Children without permission will remain at the centre with a staff member.

Supervision & Safety

  • Staff maintain required 1:15 ratios at all times.
  • Additional adults may be added when needed for safety or group size.
  • Staff carry emergency contact information, first aid supplies, and any required medications.
  • Children review safety expectations before leaving the centre.

Types of Excursions

Excursions may include:

  • Walks in the neighbourhood
  • Visits to local parks or playgrounds
  • Library trips
  • Community events or special activities

All destinations are chosen with safety, accessibility, and developmental appropriateness in mind.

If transportation is required:

  • Families will be informed in advance
  • Only approved, safe transportation methods will be used
  • Staff follow all transportation and supervision regulations

Daily Schedule and Curfew

We follow a consistent daily rhythm that supports children’s comfort, engagement, and safety. Activities may vary based on weather, interests, and programming needs, but each day includes a balance of indoor play, outdoor time, creative activities, physical movement, and quiet moments.

Arrival Expectations

On non‑school days, children should arrive by 10:00 AM. This helps ensure:

  • Planned activities can begin on time
  • Staff‑to‑child ratios remain safe and compliant
  • Children can participate fully in the day’s programming

If you anticipate being later than 10:00 AM, please discuss it with the Director in advance.

Occasional exceptions can be accommodated when communicated ahead of time.

Technology and Social Media Technology Use

Technology is used sparingly and only to enhance learning, engagement, or physical activity. Examples may include:

  • Interactive learning tools (e.g., Kahoot)
  • Movement‑based games (e.g., dance or fitness activities)

We do not use technology as a substitute for active play, social interaction, or hands‑on learning.

Social Media

We use social media to promote our program and share updates about activities, events, and the overall childcare experience. Children’s images are only shared with parental permission, as indicated on the Photo Permission Form.

Using social media for advertising helps keep fees low while supporting high‑quality programming and resources for families.

Supervision, Including Distal Supervision

Children’s safety is our highest priority. Staff provide active, attentive supervision at all times, following the Alberta Early Learning and Child Care Act and Regulation.

Active Supervision

Staff maintain:

  • Visual and auditory awareness of all children
  • Appropriate positioning to monitor play areas
  • Continuous head counts and risk assessments

Supervision is never left to chance — staff remain engaged, present, and responsive.

Distal Supervision

Distal supervision may be used only for short periods and only during low‑risk, quiet activities, such as:

  • Reading
  • Independent drawing
  • Quiet play in a clearly defined space

Distal supervision is considered an earned privilege and is granted only when a child has demonstrated the maturity, responsibility, and safety awareness required.

Safety First

  • Distal supervision is never used during high‑risk activities.
  • Staff must always be able to see or hear the child and respond immediately.
  • If safety concerns arise, distal supervision privileges are paused or removed.

Our goal is to support children’s growing independence while ensuring a safe, well‑supervised environment at all times.

Swimming Pool Policy

Swimming is a fun and valuable activity, and safety is always our top priority. All pool use follows the procedures outlined in our Swimming Permission Form, which must be completed before a child can participate.

Safety Requirements

  • All children must wear life jackets unless parents have provided written instruction stating otherwise.
  • Staff maintain direct, active supervision at all times.
  • Distal supervision is not permitted in or around the pool area under any circumstances.

Pool Rules

To ensure a safe and enjoyable experience, children must follow these rules:

  • No running on the pool deck
  • No pushing or rough play
  • No splashing without permission
  • Follow all staff instructions immediately

Supervision & Staffing

  • Staff remain within arm’s reach of children when required.
  • Ratios meet or exceed licensing standards for water activities.
  • A first aid kit and emergency contact information are always on hand.

Swimming activities are designed to be safe, structured, and enjoyable for every child.
